Access to editing history

Post by subornaakter20 »

It is very important to be able to not only see the changes themselves, but also to know who made them and when, in order to facilitate the solution of the problem, if one arises. In addition, in order to quickly restore previous documents, there should be an option to save them.

Let's say a company has signed a contract lawyer email list to provide its services, but after some time it turns out that one of the points of the contract was not agreed upon. If the company's management has figured out how to automate a service business, it will not be difficult for them to find out who made the changes and what exactly was edited.

Possibility of expanding functionality
It is quite natural that you will not be able to take everything into account and foresee everything at once, and in the process of using the system you will need to expand its functionality. A lot of effort and money is spent on revision, so the ability to independently edit fields and communication settings is an important advantage of the system.

For example, a company has been using CRM for quite a long time and in the process of work, employees understand that the deal card needs to be improved to be able to add presentations. The employee responsible for the system's operation easily forms the necessary field using the designer (he does not need to enter any codes).

Possibility of managing functionality
For ease of use of the system, it is sometimes necessary to disable unnecessary functionality so that it does not distract and does not overload the work area. The ideal option: in front of the employee there are only the buttons used in his work.

Thus, one company installed CRM for the work of five departments, each of which solves specific business tasks. Specific sections were created for them, but employees could see the entire information flow.

To make it easier for people to work, the managers thought through the organization of the system so that unnecessary functionality does not interfere with the work of the department. Sales employees act only in their section and are not distracted by approvals made, for example, by the accounting department.

Possibility of quality control of information
The system should not contain erroneous data or unnecessary information. In case of duplication of already existing information, the employee should be informed about it. And if the letter "o" is entered instead of the number "0", this should also serve as a reason for informing. If the order is not observed, then one should not count on the effective operation of the system.

An example from life. The head of the department gave the secretary the task of transferring data from a paper medium to CRM. Such work takes a lot of time, and from time to time the secretary forgets to change the language on the keyboard, which entails certain errors, for example, the English letter "C" appears in the surname Sergeev.

At this very moment, Sergeev calls his boss and arranges a meeting, which the boss records in the system, re-entering his last name. Now there are two Sergeevs on the list. Who is the real one? The human factor can play a cruel joke, and automation should protect against this. It was the system that was supposed to insure the secretary and help him do everything correctly.
